A virtual CIO is not a help desk escalation path and it is not an account manager with a nicer title. It is a recurring, structured cycle of planning, budgeting and reporting that sits above your day to day IT support. Here is what the engagement covers at MBPS.
Every quarter we sit down with your leadership team and go through what changed: ticket volume and where it came from, projects delivered against plan, spend against budget, and the risks that moved up or down. The output is a short written summary your leadership can act on, not a slide deck of green traffic lights.
Hardware ages out, licences renew, warranties lapse and compliance deadlines arrive whether or not anyone planned for them. We keep a rolling twelve month roadmap of every one of those events with a cost attached, so a server refresh or a licence true up is a line in next quarter budget rather than an emergency purchase order.
We build the annual IT budget with you and then track actual spend against it every month. Our target is to keep variance within five percent. That number matters more than it sounds: it is the difference between IT being a predictable operating cost and IT being the department that keeps surprising the CFO.
Most companies we take on are paying for something they stopped using. We inventory every technology vendor, contract and subscription, put renewal dates in the roadmap, and flag overlap and shelfware. Consolidating three tools that do the same job is usually the fastest saving available.
The vCIO owns the answer to what happens if. We maintain a plain language risk register covering backup and recovery, access control, insurance requirements and any regulatory obligations your industry carries, and we review it at each quarterly session.
Board level reporting means reporting written for people who do not work in IT. Cost per user, uptime, response times, security posture and roadmap progress, expressed in business terms, in a format you can put straight into a board pack.
Day to day, not much visible, and that is the point. The vCIO works on a quarterly cycle rather than a ticket queue: maintaining the roadmap, tracking budget variance, reviewing vendor contracts and preparing the next business review. Between sessions they are the person your leadership calls before making a technology decision, not after.
An IT manager runs the systems you already have. An account manager owns the commercial relationship with your provider. A vCIO owns the plan: what you should be spending, on what, in what order, and what it buys the business. The three roles are complementary, and confusing them is why a lot of companies think they have strategic IT input when they have status updates.
The service makes most sense from roughly fifteen to a hundred and fifty staff. Below that, technology decisions are usually small enough for the owner to make directly. Above that, a full time CIO starts to pay for itself. Most of our vCIO clients sit around twenty users, which is the point where IT spend becomes material but a six figure executive hire does not make sense.
Yes. Financial services, accounting and legal practices are a large part of our vCIO work, largely because those firms carry documentation obligations that a roadmap and risk register answer directly. If your cyber liability insurer or a client due diligence questionnaire asks how technology risk is governed, the quarterly review record is the evidence.
It is billed as a flat monthly fee rather than hourly, so the cost is a known line in your budget from the start. A full time CIO in Phoenix is a substantial salary plus benefits; a vCIO engagement is a fraction of that because you are buying the planning cycle, not the headcount. Our pricing page shows how the service fits alongside managed IT.
That is one of the most common arrangements. Your internal team keeps running operations and we supply the strategic layer: budget, roadmap, vendor oversight and board reporting. It also gives your IT lead someone senior to test ideas against, which is often missing when the internal team is one or two people.
